How do I share my terms and other documents?

Upload a PDF under Workspace → Files and you get a permanent link; terms are attached to every quote automatically.

Workspace → Files turns a PDF into a link you can paste anywhere — into a message, an invoice, your website. Upload the document once; the link stays the same afterwards, so replacing the file does not invalidate anything you have already sent.

This page is for documents you hand to customers. It is not where ECU (engine control unit) files live — dealers' uploads and your delivered files stay on their orders.

How do I upload one?

Fill in the two fields above the drop zone first, because they are applied to whatever you drop:

  1. What are you uploading? — the document's role (see below).
  2. Language — leave it on Every language unless you have a separate file per language.

Then drop a PDF onto the dashed area, or use choose a file. PDFs only, up to 10 MB — that is the one format every phone opens. When it lands you get "Uploaded — your link is ready to copy" and the document appears as a card with its link in a monospaced box and a Copy link button.

Why does "What it's for" matter?

Because the role is the only thing on this page with a consequence. It decides whether the document is linked automatically or only ever shared by hand:

  • Terms & conditions — linked from every quote you send. Upload your terms and the quote emails your website generates carry a link to them, resolved per send, so replacing the PDF changes the next quote without you doing anything.
  • Privacy statement, Warranty, Price list — available to link from your site.
  • Just a link — shared only where you paste the link. Nothing links to it automatically.

The consequence is printed under each card, so you can see at a glance which of your documents are actually reaching customers. A terms PDF filed as Just a link is a terms PDF nobody receives.

You can change the role, the name and the language on an existing document at any time from the card — the changes save as you leave each field, and the link does not change.

How do I take a document offline?

Switch link off on the card. The link stops opening anything and the card picks up a Link off badge, but the file is still stored: switching it back on makes the same link work again. Use this when a document is out of date and you would rather it returned nothing than something wrong.

Remove is the permanent one. It asks first — the confirming button reads Remove for good, and Keep backs out.

Check the card: a Link off badge is the usual answer, and switching the link back on fixes it immediately. If the badge says the link is live and a customer still cannot open it, copy the link from the card yourself and open it in a private browser window — that separates a broken link from a mail client that mangled it. If the link fails there too, open a support ticket with the document name, the link you copied and the date you uploaded it.
