Billing & invoices

Where do I see the invoices I issue and the ones I owe?

Workspace → Billing is one ledger in two directions: Bought is what you owe, Sold is what you issued and are collecting.

Workspace → Billing is the one ledger for every invoice on your account, in both directions. The Bought/Sold switch is the whole idea: Bought lists the invoices issued to you — files bought from partners, your platform subscription; Sold lists the invoices you issued — monthly cycle invoices to your dealers, per-file sales, credit packs.

Reading the ledger

Each row in the ledger shows the invoice type (per-file, monthly, subscription, AI usage, credit pack, or credit note), who the other party is, the invoice number, its status, the amount, and the date. AI usage is your monthly WhatsApp + AI concierge cost, billed as its own invoice — separate from your platform subscription, not folded into it. A credit note carries a negative amount and is shown in red. Click a row to open the invoice in place — your filters and scroll position survive — and download the PDF from the row or from the opened invoice. From an opened invoice, an order line links straight to that order on your work queue.

Two filters narrow the ledger: a stream filter (All, Business — your own trade, or Subscription — what you pay the platform) and a period picker (this month, the last 90 days, this year, or all time).

What is accruing but not yet invoiced?

Not everything on the page is an invoice yet. Two panels show money that is still forming:

  • Coming due (on the Bought side) — on-account orders you placed with partners that have not been invoiced yet, per supplier, with the date each cycle bills. This is what you will owe when those cycles close.
  • Usage accruing from your dealers (on the Sold side) — the on-account orders your dealers have placed this cycle, per dealer. This is what next month's invoices to them are adding up to.

When a cycle closes, its accruing lines become one issued invoice and move into the ledger.

What does "To collect" mean?

To collect lists the cycle invoices you have issued that your dealers have not yet paid — money owed to you, with the total at the top. Each row shows the period, the dealer, the status and the amount, plus the invoice's payment link. When a dealer pays outside the portal (a bank transfer), record it with mark as paid so the invoice stops showing as owed and the payment link stops being offered.

What about my own subscription?

The cards at the top of the page hold the payment method your platform subscription is charged to and the billing email and company details your subscription invoices are issued against. Both payment actions open secure hosted pages — card details never touch the portal. The subscription invoices themselves are in the ledger under the Subscription stream.

An invoice is missing or looks wrong

Check the period picker first — the ledger opens on the current month, and an older invoice needs a wider range. If an invoice you expected is genuinely absent, or a total looks wrong, open a support ticket with the invoice number (or the dealer and period for a missing cycle invoice); every issued invoice is tracked and can be traced.
